2. Generating Information Management Policy Usage Reports
To obtain information on which
policies are being applied throughout your organization, you can
configure information management policy usage reports to generate
periodic reports on policy behavior. These reports are generated as XML
files that will render as reports in Excel, or they can be opened in
another application for further extraction and processing.
You configure policy usage reporting in Central Administration, as shown in Figure 10,
which generates separate files for each site collection in the selected
Web application. The reports will be generated and placed in a
designated SharePoint 2010 site location such as a document library.
Policy usage reports can also be generated using an alternate report template that must be available through a URL that you provide.
To configure information management policy usage reporting, complete the following steps.
Open a browser and go to the SharePoint Central Administration website.
Click Monitoring, and then under Reporting, click Review Information Management Policy Usage Reports.
If
you want to generate scheduled reports, select the check box to enable
recurring reports and specify the report schedule. You can also click
Create Reports Now to generate a one-time report.
In
the Report File Location text box, type the relative URL address for
the document library where you want the reports to be placed. For
example, if you want the reports to appear in a document library called
Information Management Reports in a top-level site in the site
collection, you would enter /Information Management Reports in the text box.
If you want to use a custom template, enter the URL address for the template in the Report Template box.
The default template used to
store your information management reports displays the name of the
report, which includes the date and time the report was generated. It
also provides columns that list the site collection and the Web
application of the report, as shown in Figure 11.
